Senior Management Support Specialist

Job Purpose: 
This position involves managing a variety of complex administrative tasks, including addressing high-level policy matters and resolving office-related challenges. The role requires interpreting and adapting guidelines, including unwritten policies, precedents, and practices, to ensure smooth operations. The incumbent will apply foundational concepts, processes, and procedures to technical assignments, develop methodologies, and present solutions to problems. Additionally, they will contribute to deliverables and performance metrics as needed, ensuring goals and expectations are consistently met. 
 
Responsibilities: 

  • Maintain project management process documentation and job aides for processes to ensure all documentation is current and in accordance with procedures .
  • Perform data gathering, entry, analysis, integration, reporting and projecting to support the client’s processes including, but not limited to, capital planning, architecture/cloud hosting management and configuration management.
  • Provide written documentation and narratives in support of the client’s processes.
  • Direct and conduct all assigned executive support duties and analysis to ensure quality for office leadership and management (i.e., meeting and logistics management, administration, document preparation).
  • Create, maintain, and manage document management and processes as needed (i.e., Office365, SharePoint, MS Office).
  • Review Executive orders, legislation, etc. to identify impacts (e.g., financial assistance impacts) and associated tasks/deadlines.
  • Review draft policies, guidance documents to ensure consistency in formatting and grammar, and to provide feedback on clarity of verbiage and structure.
  • Coordinate with other team members to respond to various data requests, data calls, and/or other tasking from leadership.
  • Develop a reporting mechanism to manage/track data calls and tasks to include identifying the task summary, and suspense date.
  • Follow up with assigned personnel to ensure deadlines are being met.
  • Assist with presentation development (to include research, compiling of data, and slide deck presentation).
  • Other duties as assigned 

Qualifications: 

  • Associate degree or higher in Business Administration or related field from an accredited college or university.
  • Minimum 5 years of experience in a related field.
  • Able to work professionally in a team environment and provide assistance and guidance to fellow team members, promptly and willingly.
  • Serve in other teams or branches as directed and requested on an as needed basis
