Job Purpose: This position will handle a wide variety of situations and conflicts involving high level administrative function. Interprets and adapts guidelines, including unwritten policies, precedents, and practices. Applies fundamental concepts, processes, practices, and procedures on technical assignments. Operates with appreciable latitude in developing methodology and presenting solutions to problems while contributes to deliverables and performance metrics across all projects.
Handle onboarding actions for contractor personnel with the security offices, collecting required forms and coordinating on-boarding and off-boarding tasks, works closely with technical team for laptop issuance and returns
Composes correspondence, or makes recommendations about administrative matters and general office policies
Anticipate and prepare materials needed by the task function for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs lead or supervisor on matters to be considered
Read publications, regulations, and directives and take action or refer those that are important to the function/task
Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, etc., under general directions
Advise subordinate on new procedures; requests information needed from the subordinate office(s) for periodic or special conferences, reports, inquiries, etc.
Arranges for member to represent organization at conferences and meetings, establishes appointment priorities, or reschedules or refuses appointments or invitations
Perform data entry into various systems in support of various programmatic and administrative processes (e.g., test scripts, MS Project, SharePoint);
Perform analyses and reconciliation of various reports and data sets and produce reports on the outcome of the analyses
Ensure quality of documents and office processes.
Administer office communications mediums (e.g., mail groups, portal content, Office365 sites);
Conduct all assigned administrative duties and analysis to ensure quality executive support for office leadership and management (e.g., meeting and logistics management, quality gate administration, document preparation)
Direct activities related to facilities support and planning (e.g., travel, facility work order requests, obtaining estimates for facility work, room logistics)
Direct and conducts special projects (e.g., report reconciliation, software conversion projects, events, special occasions); and
Act as the administrative assistant to always ensure coverage of critical office operations
Other duties as assigned
Education and Experience:
Associate degree or higher in Business Administration or related field from an accredited College or University
Minimum 3-5 years of related experience
