Project Manager/ Event Coordinator

Purpose:
The Project Manager/ Event Coordinator is responsible for planning, coordinating, and executing AV/VTC-supported events, conferences, executive meetings, webinars, training sessions, and other live or virtual productions. This position serves as the primary production liaison, ensuring events are properly planned, staffed, rehearsed, and executed while coordinating schedules, technical requirements, presenters, and production resources.


Responsibilities:
  • Plan, direct, and execute AV/VTC productions for meetings, conferences, live events, webinars, and training sessions.
  • Serve as the primary production lead and liaison for event-related activities.
  • Develop production plans, run-of-show documents, cue sheets, and contingency plans.
  • Coordinate rehearsals, technical run-throughs, and presenter briefings.
  • Direct live event operations.
  • Coordinate event schedules, staffing, equipment availability, and production requirements.
  • Conduct post-event reviews and identify opportunities for improvement.
  • Maintain event-related SOPs, inventories, and production documentation.
  • Provide executive-level customer engagement and support.
  • Recommend appropriate technical and production solutions based on event requirements.
  • Coordinate support using Microsoft Teams, Zoom, Cisco Webex, and related enterprise platforms.

Qualifications:
  • Minimum of 10 years of experience supporting comparable AV/VTC, event-production, or enterprise environments.
  • Experience coordinating technical events across dispersed locations preferred.
  • Experience with enterprise AV/VTC operations and live-event production.
  • Experience developing production plans, schedules, run-of-show documents, and contingency plans.
  • Strong client-facing and executive communication skills.
  • PMP certification preferred.
  • AVIXA CTS certification preferred.
  • Familiarity with ITIL change-management practices preferred.
  • Ability to successfully complete and maintain a Public Trust background investigation.
