Meeting Registrar

Job Purpose:
The Meeting Registrar / Administrative Support Specialist provides administrative and logistical support for meetings, conferences, workshops, and special events. This position is responsible for coordinating attendee registration, maintaining event records, preparing meeting materials, supporting event logistics, and providing administrative assistance to ensure meetings and conferences are executed efficiently and professionally. The role serves as a key point of contact for attendees, vendors, and stakeholders while supporting overall event operations and documentation.
 
Responsibilities
  • Coordinate attendee registration activities for meetings, conferences, workshops, and special events.
  • Create, maintain, and monitor registration databases and attendee tracking systems.
  • Assist with the development and maintenance of event registration websites and electronic registration platforms.
  • Serve as a point of contact for event attendees, responding to inquiries regarding registration, logistics, schedules, and event details.
  • Prepare and distribute meeting and conference materials, including agendas, attendee lists, badges, table tents, binders, handouts, and electronic media.
  • Assist with assembling conference binders and ensuring sufficient materials are available for all participants.
  • Coordinate meeting room reservations and assist with venue logistics and setup activities.
  • Support onsite event operations, including registration check-in, attendee assistance, and troubleshooting logistical issues.
  • Assist with coordinating travel and lodging arrangements for meeting participants as required.
  • Prepare meeting notes and assist with drafting, formatting, distributing, and maintaining meeting minutes.
  • Maintain event files, records, correspondence, and administrative documentation.
  • Track, route, organize, and retain documents in accordance with established procedures.
  • Prepare reports, spreadsheets, presentations, and other administrative deliverables using Microsoft Office applications.
  • Assist with post-event activities, including attendee surveys, data collection, and reporting.
  • Provide general administrative support, including scheduling meetings, coordinating teleconferences, managing correspondence, and maintaining calendars.
  • Support multiple events and administrative projects simultaneously while meeting deadlines and maintaining accuracy.
  • Other duties as assigned.

Education and Experience:
  • High School Diploma or equivalent required. Associate degree preferred.
  • Minimum of two (2) years of administrative support experience, preferably supporting meetings, conferences, events, or project teams.
  • Experience coordinating registrations, maintaining databases, or providing logistical support for events preferred.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Experience preparing reports, correspondence, presentations, and meeting materials.
  • Experience with document routing, tracking, records retention, and filing systems.
  • Strong organizational and time management skills with the ability to prioritize multiple assignments.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and customer service orientation.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to manage multiple deadlines while maintaining a high degree of accuracy and professionalism.
