Purpose: The Executive Assistant will provide high-level administrative support to the Deputy Assistant Secretary for Subsurface Energy and serve as backup to the Assistant Secretary. As front-line support to a DOE Senior Executive, this position requires exceptional organizational skills and the ability to manage the operations of a complex executive office.
Responsibilities:
Serve as the principal contact and liaison, maintaining highly professional and confidential interactions with senior departmental officials, headquarters personnel, field offices, and other Federal agencies.
Maintain and manage complex executive calendars, appointments, meetings, and calls; monitor email and coordinate scheduling priorities.
Provide daily updates and reminders regarding upcoming meetings and commitments.
Prepare meeting agendas, background materials, and briefing packages; attends meetings, captures notes, tracks action items, and distributes follow-up documentation.
Review incoming and outgoing correspondence for accuracy, completeness, and compliance with DOE procedures.
Plan and coordinate official travel, including lodging, transportation, ground agendas, travel authorizations, and vouchers (local, telework, domestic, and foreign travel).
Submit travel logistics through ADTRAV and prepares travel vouchers, including calculation of per diem reimbursements.
Help with international travel requirements, including visa processing and inoculation documentation.
Receive visitors and escort non-DOE guests within the Forrestal Building.
Assist with organizing executive events, staff meetings, award ceremonies, and official gatherings.
Maintain office records in accordance with DOE records management policies; conducts research from supervisor’s files as needed.
Ensure that requests for action or information are relayed to appropriate staff members in the executive’s absence.
Exercise sound judgment in prioritizing matters and determining when executive notification is required.
Other duties as assigned.
Education and Experience:
A minimum of five (5) years of experience directly supporting senior executives is required.
A bachelor’s degree in a related field (or an additional six (6) years of relevant experience in lieu of a degree).
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
Experience with office automation systems including Adobe Acrobat Pro, web applications, and scheduling systems.
Prior experience with Concur Government Travel is highly preferred.
Excellent written and verbal communication skills.
Strong organizational, research, and problem-solving skills with high attention to detail.
Ability to manage multiple priorities in a fast-paced executive environment.
Ability to work overtime when necessary.
