Facilities Manager

Job Purpose:
The Facilities Manager is responsible for overseeing all aspects of facilities and property management in accordance with customer requirements. This role ensures a safe, functional, and efficient work environment by managing maintenance, space allocation, vendor relationships, and compliance with federal and local regulations. The Facilities Manager will serve as the primary point of contact for facility-related matters, supporting both staff and leadership with proactive solutions and effective operations management.


Responsibilities:
  • Conduct and oversee all property and facilities management activities, including planning and scheduling.
  • Liaise with building management on issues related to maintenance, space allocation, janitorial services, leasing, access, and other landlord/tenant concerns.
  • Act as the primary contact for office space, maintenance, and furnishing requirements, coordinating between staff and headquarters personnel.
  • Provide administrative oversight of major facility-related contracts such as Operations & Maintenance (O&M), custodial, grounds, and waste management.
  • Manage and coordinate building maintenance and preventive maintenance programs.
  • Develop requirements and oversee contractors performing mechanical, electrical, or structural repairs.
  • Monitor and support the Quality Assurance (QA) program for all facility-related services.
  • Assist in developing and managing the facility’s operating budget.
  • Identify future furnishing and space needs; draft justifications for funding requests and submit them for approval.
  • Receive, inventory, and manage government-procured office furniture; prepare and submit monthly inventory reports.
  • Maintain and update a directory of office space allocations for all staff.
  • Collaborate with leadership to resolve any space or furnishing issues.
  • Ensure compliance with all applicable federal and local government codes, standards, policies, and procedures.
  • Perform other duties as assigned.
Education and Experience:
  • Associate degree in facility management, administration, management, or a related field (bachelor’s degree preferred).
  • Minimum of three (3) years of demonstrated experience as a Facilities Manager.
  • Strong organizational and problem-solving skills, with the ability to manage competing priorities.
  • Excellent communication and interpersonal skills, with proven ability to liaise effectively with internal staff, building management, and vendors.
  • Knowledge of facilities operations, preventive maintenance, budgeting, and quality assurance practices.
  • Ability to work independently as a self-starter while also supporting team and leadership goals.
