Financial Management Help Desk Support

Job Purpose:
We are seeking a highly organized and technically proficient individual to join our team as a Financial Management Program Help Desk Specialist. In this role, you will be responsible for managing grants administrative operations, responding to inquiries, providing vital support to Grants management/oversight staff, and ensuring the smooth operation of our financial monitoring program.

Responsibilities:
  • Manage the FHIP Financial Management Help Desk operations effectively.
  • Ensure the Help Desk is operationalized within 30 calendar days of contract award.
  • Provide support to Grants management and oversight staff.
  • Receive and respond to technical assistance inquiries promptly.
  • Manage the Help Desk email and telephone line provided by HUD.
  • Provide automatic receipt confirmation for emails.
  • Render technical guidance using the various provided communication technologies (JIRA, Phone).
  • Ensure that technical guidance provided is accessible to persons with disabilities and complies with HUD's Section 508 EIT accessibility standards.
  • Coordinate with FHIP HQ, Legal, and other relevant staff to resolve requests submitted by Grants management/oversight staff.
  • Collaborate with HUD to create standardized responses for Grants management/oversight staff supporting grantees.
  • Maintain a comprehensive knowledgebase containing answers to inquiries received.
  • Utilize information from HUD staff inquiries to recommend improvements for the FHIP Financial Monitoring Program, leveraging existing materials provided by HUD.

Education and Experience:
  • Bachelor's degree in Finance, Accounting, Business Administration, Information Technology, or related field preferred.
  • Previous experience in a help desk or customer support role, preferably in a financial or government setting.
  • Strong understanding of financial management principles and practices.
  • Excellent communication skills, both written and verbal.
  • Experience with applications such as JIRA
  • Ability to work collaboratively with cross-functional teams and stakeholders.
  • Proficiency in using various technologies for communication and documentation.
  • Familiarity with accessibility standards and regulations, particularly HUD's Section 508 EIT accessibility standards, is desirable.
  • Exceptional organizational skills and attention to detail.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
